Privacy Policy

1.Who we are

ProNectiv Ltd is a company registered in the United Kingdom (company number 17359833), registered office 5 Brayford Square, London, E1 0SG, United Kingdom. We are the data controller for personal data processed through ProNectiv, under the UK GDPR and the Data Protection Act 2018. Contact us at privacy@pronectiv.com.

2.What we collect

• Account data: name, email address, hashed password, profile photo and household role (owner, member, child or caregiver).
• Household data: membership, relationships between members and invite records.
• Children’s data: task and chore assignments and board membership. Children who sign in anonymously have no email, no password and no contact details — only a device-linked identity.
• Calendar and tasks: events, schedules, assignments, completion status and photo proof submitted for review.
• School data: school details, term dates, homework, trips, fees and newsletters.
• Health data: appointments, medications, vaccinations and emergency contacts. This is special category data under Article 9 UK GDPR and is processed on the basis of the explicit consent of the household member entering it.
• Financial data: budget and expense entries. This is observational tracking only — ProNectiv does not process, store or handle payment card data.
• Documents: files that users choose to upload.
• Usage data: IP address, browser type, device identifiers and product-usage events.

3.How we use it

• Providing the service you and your household have asked for.
• AI features: conflict detection, the weekly planner and newsletter summarisation.
• Transactional notifications (reminders, digests, invitations, security emails).
• Enforcing role-based access within a household.
• Improving the product using analytics.
• Meeting our legal obligations.

4.AI features

Only the data needed for a given feature is sent for processing — schedule data for conflict detection, newsletter text for summarisation — not your full household record.

AI output is presented to you as suggestions. It is never written to the database without your explicit confirmation.

AI outputs are not independently verified and should not be relied on for medical or safety-critical decisions.

7.International transfers

Where a processor is located outside the UK or EEA, transfers rely on the UK Extension to the EU-US Data Privacy Framework, or on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses.

• Account data: retained while the household is active, and for 90 days after deletion to allow recovery.
• Photo proof: 12 months.
• Analytics: 14 months.
• Backups: purged within 35 days.

Deleting a household removes its data, including stored files.

10.Your rights

You have the right to access, rectification, erasure, restriction, objection and portability, and the right to withdraw consent. Contact privacy@pronectiv.com.

You can also complain to the Information Commissioner’s Office at ico.org.uk. Requests about a child should come from the household owner or another adult with parental responsibility.

11.Security

Row Level Security is enforced in PostgreSQL so members can only reach data they are authorised for. Data is encrypted in transit with TLS and encrypted at rest. Access to production systems is restricted.

12.Cookies

Essential cookies for sign-in and security are always active. Analytics cookies (PostHog) are only set after you accept them, and you can withdraw consent at any time.

13.Changes to this policy

We may update this policy as the service develops. The “Last updated” date at the top will always reflect the current version. Where a change materially affects how we use your data, we will notify household owners by email and show an in-app notice before it takes effect.
